We are looking for a detail-oriented Administrative Assistant to join our team and support daily operations located in the Greater Philadelphia Region. In this long-term contract role, you will play a key part in ensuring the smooth functioning of office activities while delivering exceptional administrative support. This Administrative Assistant position is ideal for someone who thrives in a dynamic environment and enjoys working collaboratively.

Job Responsibility

  • Provide comprehensive administrative support to maintain efficient office operations
  • Answer incoming calls and direct inquiries to the appropriate departments
  • Perform accurate data entry tasks to ensure records and databases are updated regularly
  • Manage receptionist duties, including welcoming visitors and handling front desk responsibilities
  • Organize and maintain office documents, files, and supplies to support team productivity
  • Coordinate schedules, meetings, and appointments for staff members
  • Assist in preparing reports, presentations, and other business documentation
  • Handle correspondence, including emails and letters, with attention to detail
  • Support event planning and logistics for exhibitions and other industry-related activities

Requirements

  • Proven experience in administrative assistance or a similar role
  • Strong proficiency in answering inbound calls and managing phone systems
  • Familiarity with administrative office practices and procedures
  • Excellent data entry skills with high attention to accuracy
  • Strong organizational skills to manage files, schedules, and supplies effectively
  • Proficiency in using office software and tools, such as Microsoft Office Suite
  • Exceptional communication skills, both written and verbal
