We are looking for a detail-oriented Administrative Assistant to support daily office activities in Palmetto, Florida. This is a Contract to permanent position suited for someone who can keep workflows organized, manage service order activity accurately, and respond effectively in a busy environment. The ideal candidate is comfortable balancing administrative tasks, maintaining clear records, and communicating professionally in both English and Spanish.
Job Responsibility
Manage the full lifecycle of service and work orders, ensuring each item is opened, updated, and closed with accuracy and urgency
Provide administrative support across daily office functions to help maintain efficient operations and timely task completion
Track order status, share updates with internal teams, and help coordinate next steps to keep activities moving forward
Maintain structured files, logs, and supporting documentation so information is easy to access and audit
Handle general office support duties such as data entry, inbound call assistance, and front-desk style coordination as needed
Enter information into QuickBooks and related administrative systems with a high level of accuracy and consistency
Assist in a fast-paced setting by adjusting priorities, responding to changing demands, and supporting multiple requests at once
Requirements
Previous experience in an administrative support or office coordination role
Hands-on QuickBooks experience is required
Experience processing and completing service or work orders from start to finish
Bilingual communication skills required, with Spanish and English strongly preferred
Strong organizational abilities with close attention to detail
Ability to manage multiple tasks effectively in a dynamic work environment
Comfortable handling inbound calls, data entry, and general receptionist or office support duties
