We are looking for a detail-oriented Administrative Assistant to join our team on a long-term contract basis in Lakewood, Colorado. This role is essential in ensuring smooth daily operations, providing front desk support, managing office access, and coordinating employee relations activities. The ideal candidate will bring excellent organizational skills, professionalism, and a proactive approach to administrative tasks.
Job Responsibility:
Provide front desk coverage, welcoming visitors, notifying staff of arrivals, and handling visitor-related tasks
Coordinate meeting room schedules by reviewing and approving reservation requests to avoid conflicts
Prepare and submit expense reports for review and processing
Manage access badges, parking assignments, and gym access requests while maintaining accurate records
Process access badge requests for new hires and ensure timely cancellation of credentials as required
Arrange catering, coordinate food orders, and reconcile expenses for office lunches and events
Organize Lunch-and-Learn events in collaboration with vendors and internal teams
Track and report office expenses, including supplies, catering, and maintenance, for weekly review
Handle courier and FedEx packages, ensuring documentation is retained for reconciliation purposes
Perform office closing procedures, such as securing doors and shutting down screens
Requirements:
Proven experience in administrative support or similar roles
Strong proficiency in handling receptionist duties and answering inbound calls
Excellent organizational skills with attention to detail
Ability to manage data entry tasks efficiently and accurately
Experience coordinating office events and catering requests
Familiarity with building access management processes
Effective communication skills for interacting with employees, vendors, and visitors
Proficiency in tracking and reconciling expenses
