Job Description:

We are looking for an Administrative Assistant to join our team in Honolulu, Hawaii on a contract basis. In this role, you will play a key part in supporting marketing initiatives, guest interactions, and administrative operations within the real estate and property management sector. This position is ideal for someone with strong organizational skills and experience in customer service.

Job Responsibility:

  • Develop and implement effective marketing strategies for both print and digital platforms to promote the property
  • Follow up promptly on guest inquiries and maintain accurate records of interactions
  • Participate in outreach marketing efforts, including distributing promotional materials and flyers
  • Coordinate and facilitate the move-in process by touring available units, setting up mini-models, and assisting with lease signings
  • Verify applications and ensure compliance with company policies and procedures
  • Conduct market research, including competitor analysis, and prepare detailed marketing reports
  • Ensure all business transactions adhere to Fair Housing laws, ADA regulations, Fair Credit Reporting Act, and other relevant federal and state guidelines
  • Provide excellent customer service by assisting visitors, answering inquiries, and managing a multi-line phone system
  • Perform receptionist duties and support general administrative tasks as needed
  • Take on additional responsibilities as assigned by management

Requirements:

  • Minimum of 2 years of experience in administrative roles, preferably within real estate or property management
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
  • Strong communication skills, both written and verbal, with the ability to interact effectively with clients and team members
  • Experience managing multi-line phone systems and handling inquiries professionally
  • Knowledge of marketing strategies and outreach activities
  • Familiarity with customer service and receptionist duties
  • Ability to assist visitors and manage leasing processes efficiently
  • Understanding of federal and state laws related to housing and disabilities
