We are looking for a detail-oriented Administrative Assistant to join our team in Indianapolis, Indiana. This Contract-to-permanent position offers an excellent opportunity to contribute to organizational efficiency by providing essential administrative support across various operations. The ideal candidate will excel in managing tasks, maintaining records, and supporting both internal teams and external client processes.
Job Responsibility:
Maintain accurate and up-to-date records for equipment financing applications, contracts, and client information within internal databases
Facilitate loan and lease application processes by organizing required documentation, conducting initial reviews, and forwarding completed files to designated teams
Coordinate meetings, client appointments, and team events, ensuring all necessary materials and documentation are prepared in advance
Perform general office duties such as drafting correspondence, managing incoming and outgoing mail, maintaining office supplies inventory, and organizing files
Support the sales team by preparing proposals, monitoring the status of pending deals, and generating detailed reports on application metrics
Uphold confidentiality standards by safeguarding sensitive client and financial information while adhering to company policies and compliance regulations
Assist management with special projects, including audits, training sessions, and initiatives to improve internal processes
Manage shipping and delivery logistics, including coordinating with UPS and FedEx for timely shipments
Requirements:
Proven experience in administrative support roles with a strong attention to detail
Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
Ability to manage office supplies inventory and coordinate purchases as needed
Familiarity with shipping and delivery processes, including working with UPS and FedEx
Excellent organizational and time management skills to handle multiple tasks effectively
Strong written and verbal communication skills for drafting correspondence and interacting with clients
Ability to maintain confidentiality and comply with company policies regarding sensitive information
Nice to have:
Experience in preparing reports and tracking operational metrics is preferred
