Job Description:

We are looking for a detail-oriented and bilingual Administrative Assistant to join our team in Encinitas, California. This is a long-term contract position that requires a proactive individual with strong organizational and communication skills. The ideal candidate will provide comprehensive administrative and operational support while ensuring seamless coordination between office and field staff.

Job Responsibility:

  • Provide administrative and operational support to ensure smooth day-to-day functions
  • organize and maintain HR-related documents, ensuring all files are up to date and accessible
  • serve as a point of communication between office and field teams, relaying messages and facilitating collaboration
  • input paper timesheets into the payroll system accurately and on time
  • manage expense reports for field personnel, ensuring timely processing and reimbursement
  • handle a high volume of administrative tasks, including filing, data entry, and document organization
  • respond to inbound calls and emails, providing excellent customer service
  • utilize Microsoft Office Suite, especially Outlook, to manage schedules, communications, and reporting

Requirements:

  • Bilingual proficiency in English and Spanish, both written and verbal
  • proven experience in administrative roles, with strong organizational abilities
  • proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook
  • strong data entry skills with a high level of accuracy and attention to detail
  • ability to handle multiple tasks effectively and prioritize workload
  • excellent communication skills, both written and verbal
  • experience in managing expense reports and payroll systems is preferred
  • familiarity with filing systems and document management
