We are looking for an Administrative Assistant to join our team on a contract basis in Santa Clara, California. In this role, you will provide vital support to the Human Resources department, ensuring smooth operations and exceptional service. Job Responsibility:
Deliver high-quality customer service by responding promptly to inquiries and requests
Manage service desk operations, including call logging and inquiry tracking
Assist visitors, handle HR-related documentation, and support onboarding procedures
Verify the completion of required employment paperwork, including I-9 and W-4 forms
Provide administrative support to the VP of Human Resources and HR leadership team, including calendar management and travel coordination
Prepare reports, presentations, and communications for departmental use
Maintain personnel records and ensure adherence to retention policies
Oversee office management tasks, including facilities coordination and supply inventory
Support HR projects and initiatives, identifying areas for process improvement
Supervise student assistants and ensure adequate staffing for service desk operations
Requirements:
Proven experience in administrative support roles, preferably within HR or a related field
Strong customer service skills with the ability to communicate effectively
Proficiency in HRIS systems such as Workday or PeopleSoft
Excellent organizational abilities, including calendar management and document preparation
Familiarity with onboarding processes and handling personnel records
Ability to multitask and prioritize in a fast-paced environment
Proficiency in Microsoft Office Suite and other relevant software
