The Assistant is responsible for performing a variety of administrative activities to support their assigned work team. This includes managing records, compiling reports, organizing files, and coordinating team events. The role involves working with vendors, assisting in budget preparation, and ensuring smooth communication between internal and external stakeholders.
Job Responsibility:
Assist the manager in budget preparation, record maintenance, and generating reports on operations and personnel changes
Compile and generate reports, statistics, timelines, tables, graphs, and presentations using company software
Provide input for designing processes to enhance workflow and operational efficiency
Serve as an administrative liaison with internal and external teams regarding administrative issues
Organize and maintain electronic files and manage communication within the team
Schedule and coordinate team events and meetings
Perform basic research and minimal project management to support manager directives
Requirements:
Minimum 3 years of administrative experience supporting a manager and team
Proven experience in working with vendors for project management
Prior experience in EHS (Environmental Health & Safety) is highly desirable
Proficiency in Microsoft Office Suite including: Excel, Word, Outlook, and Teams
Excellent organizational and communication skills
Proactive, self-reliant, and independent with strong attention to detail
Basic project management and research abilities
Associate’s Degree (AA), or Equivalent work experience of at least 3 years in administrative roles
Demonstrated expertise in supporting managers and teams with administrative tasks
Nice to have:
