We are looking for a skilled Administrative Assistant to join our team in Albany, New York. In this role, you will provide comprehensive support to senior staff and ensure smooth office operations. This is a long-term contract position, ideal for someone who thrives in a dynamic and fast-paced environment.
Job Responsibility:
Coordinate and schedule meetings for senior staff to ensure effective time management
Process incoming mail, handle faxing requirements, and manage photocopying tasks as needed
Organize and maintain both paper and electronic filing systems for efficient document retrieval
Draft and prepare thorough correspondence, including letters and reports related to incidents and complaints
Oversee daily office operations, providing support to senior management as required
Adapt to changing priorities by completing ad hoc assignments in a timely manner
Assist in orienting and training other support staff to ensure consistency in administrative processes
Requirements:
Proven experience in administrative assistance or similar roles
Ability to handle high-volume tasks while maintaining attention to detail
Skilled in managing multiple assignments and shifting priorities effectively
Proficient in office administration practices, including filing systems and document management
Strong command of grammar, punctuation, and spelling for business communications
Capable of taking accurate notes and preparing thorough and well-organized documents
Knowledge of receptionist duties, data entry, and answering inbound calls
