We are looking for a highly organized Administrative Assistant to provide dependable support in a dynamic healthcare setting. This Contract position is ideal for someone who can balance front-desk duties, executive coordination, and occasional personal assistance while keeping daily operations running smoothly. The successful candidate will bring strong communication skills, sound judgment, and the ability to stay composed while managing shifting priorities.
Job Responsibility:
Coordinate calendars, appointments, and meeting arrangements while ensuring schedules, reminders, and follow-up actions stay on track
Serve as a detail-oriented first point of contact by answering inbound calls, greeting visitors, and handling part-time reception coverage as needed
Arrange business travel, prepare itineraries, and manage related logistics to support meetings, events, and speaking engagements
Support vendor communication by organizing correspondence, tracking requests, and helping maintain productive external relationships
Develop and update organized workflows, reference materials, trackers, and checklists to improve day-to-day efficiency
Monitor deadlines, action items, and open tasks to help move priorities through completion without constant oversight
Assist with supply and inventory coordination by tracking usage and prompting timely reorders when needed
Handle occasional personal errands and administrative tasks with discretion and care
Requirements:
At least 2 years of experience in administrative, executive support, personal assistant, or operations-focused work
Demonstrated ability to manage calendars, appointments, and competing priorities in a fast-paced environment
Strong written and verbal communication skills with a detail-oriented and service-oriented approach
Proficiency with Google Calendar, Slack, Microsoft Office, and common virtual communication platforms
Excellent organizational skills with close attention to detail and reliable follow-through
Ability to work independently, adapt quickly to changing needs, and manage multiple responsibilities at once
Experience supporting an executive, founder, or physician is preferred
Background in healthcare, startup environments, or process documentation is a plus
