We are looking for a detail-oriented Administrative Assistant to support daily operations in our corporate management office in Metairie, Louisiana. This contract-to-permanent opportunity is ideal for someone who enjoys creating an organized, welcoming environment while balancing front-office responsibilities with administrative support. The right candidate will be confident communicating with clients, tenants, vendors, and internal leadership, and will bring strong technical skills across Microsoft Office and Teams. Job Responsibility
Welcome visitors, tenants, clients, and vendors while ensuring a courteous and welcoming front-office experience
Manage incoming phone calls, direct inquiries appropriately, and provide timely assistance to callers
Build and maintain positive day-to-day interactions with customers and external partners
Organize digital and physical records, prepare spreadsheets and reports, and keep administrative documentation accurate and up to date
Compile and submit replacement reserve requests for multiple properties with careful attention to deadlines and supporting details
Enter and process invoices through online property management systems while maintaining accurate records
Perform general office support tasks such as scanning files, handling computer-based administrative work, and sorting and distributing incoming mail
Provide administrative assistance to management and the Vice President of the Multi-Family department on special projects and ongoing initiatives
Requirements
High school diploma or equivalent required
Prior experience in administrative support, office coordination, reception, or a similar business support role
Strong working knowledge of Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint, along with Microsoft Teams
Ability to communicate clearly and professionally in both verbal and written formats
Strong organizational skills with the ability to manage multiple priorities efficiently
Proactive approach to work and the ability to take initiative with minimal supervision
High level of discretion and ability to handle confidential information responsibly
