We have an upcoming role for a proactive Administrative Assistant for our Property Management team. This role is key to supporting daily operations, interacting with tenants and vendors, and ensuring efficient office communications. The ideal candidate is detail-oriented and excels at delivering professional customer service over the phone and in person.
Job Responsibility:
Answer and direct incoming calls, providing prompt and courteous service to tenants, vendors, and prospective clients
Greet visitors, schedule appointments, and maintain calendars for property managers
Assist with the preparation and distribution of leases, notices, and other property documentation
Support processing of maintenance requests and follow up with tenants and vendors
Maintain accurate records and digital files related to property contracts, invoices, and correspondence
Coordinate with property managers on rent collection, late payment notices, and tenant communications
Order office supplies and manage inventory
Assist with organizing property inspections, move-in/move-out activity, and other logistics
Requirements:
Proven experience as an administrative assistant or similar role, preferably in property management or real estate
Strong verbal and written communication skills
Ability to answer phones and provide outstanding customer service is required
Excellent organizational and multitasking abilities in a fast-paced environment
Proficiency with Microsoft Office Suite and property management software (preferred)
