The successful candidate, under the guidance of the Workplace Solutions Manager, will assist in the operations of the CBS Pune site and provide general support to leadership team. This role focuses on creating a positive office atmosphere, thriving in a dynamic environment and performing administrative activities. The position is proactive and ensures workplace services are delivered consistently, and team member experience is maximized.
Job Responsibility:
Assist visitors (customers, vendors, job applicants and other etc.) with arrival and departure processes, ensuring proper display of temporary identification issued by Cencora
Provide guidance on room reservations and assist guests with printing needs
Maintain visitor sign-in/sign-out technology and equipment
Coordinate with on-site security or badge administrators regarding card access issues and assist associates with questions related to badging or directions
Communicate with day porters when service is needed and direct first responders to appropriate locations during emergencies
Accept deliveries and route them to recipients or designated locations
Manage office and equipment supplies, including inventory tracking and ordering
Support cafeteria operations and coordinate workplace-related services with vendors
Raise risks or concerns to the Workplace Solutions Manager when necessary
Perform administrative duties, including managing and prioritizing leaders’ calendars, scheduling appointments, and ensuring efficient meeting arrangements
Coordinate agendas for senior leader visits, including workspace team arrangements
Arrange travel for executives, including flights, accommodation, and transportation
Prepare and distribute meeting materials, agendas, and minutes accurately and on time
Handle expense reports, invoices, and budget tracking for proper financial management
Assist in coordinating internal company events and onboarding processes for new joiners
Manage concierge requests and fulfill them promptly
Handle confidential and sensitive information with utmost discretion and professionalism
Requirements:
Preferred Tertiary education, Diploma and above with a pass in English, Accounting, Business Basic or equivalent skills
Working knowledge and proficiency in Microsoft Office software, particularly Word, Excel, Outlook
