We are looking for an Administrative Assistant to support a busy installation and project coordination team in California. This contract opportunity is ideal for someone who is organized, comfortable working with data, and confident communicating with customers in a clear and courteous manner. The person in this role will help keep reporting, order tracking, and billing updates accurate while supporting day-to-day coordination across active projects.
Job Responsibility
Prepare and maintain reports in Microsoft Excel to provide the installation team with timely project information and status updates
Serve as a point of contact for customers by responding to questions related to purchase orders, project progress, and invoice details
Track purchase order activity and help ensure documentation is complete, accurate, and properly recorded
Assist with invoice processing by reviewing customer billing information and updating records as needed
Coordinate administrative support for project coordinators to help keep installation schedules and related tasks organized
Communicate project-related updates clearly to customers and internal team members to support smooth day-to-day operations
Organize construction-related documents and maintain accurate administrative records for ongoing jobs
Requirements
Prior experience in an administrative support role, preferably within a project-based or fast-paced team environment
Strong Microsoft Excel skills with the ability to create, update, and manage reports efficiently
Excellent customer service and communication skills, with the ability to handle inquiries professionally
Experience working with purchase orders, invoice entry, or customer billing documentation
Strong attention to detail and the ability to manage multiple tasks with accuracy
Comfort using technology and learning team tools and systems quickly
Experience in the construction industry or familiarity with construction documents is strongly preferred
