We are looking for an Administrative Assistant with relevant experience to help keep a busy dental office running smoothly in Aurora, Colorado. This position supports both patient-facing front desk activities and essential administrative tasks, with a strong emphasis on insurance coordination, scheduling, and record accuracy. The ideal candidate brings prior dental office experience, confidence using Dentrix, and a detail-oriented approach to patient service and team collaboration.
Job Responsibility
Welcome patients upon arrival, guide them through intake and departure procedures, and create a welcoming front office experience
Review dental coverage details before visits by confirming eligibility, benefits, and plan information with insurance providers
Prepare and transmit claims, track unpaid items, apply payments accurately, and assist with resolving outstanding account issues
Communicate expected out-of-pocket costs, co-pay amounts, and coverage information so patients understand their financial responsibilities
Keep patient files current by updating personal details, insurance records, and supporting documentation with a high degree of accuracy
Use Dentrix to organize calendars, maintain account information, document office activity, and support day-to-day administrative workflows
Partner with providers and office staff to maintain an efficient schedule and support steady patient movement throughout the day
Process payments, issue receipts, and complete routine clerical work such as scanning, filing, correspondence, and data entry
Follow confidentiality requirements and office procedures to protect patient information and support compliant operations
Requirements
At least 3 years of experience in an administrative, front desk, or dental office support position
Practical knowledge of dental insurance verification, benefits coordination, and claims administration
Proficiency with Dentrix dental software in a clinical or dental office setting
Experience scheduling appointments, managing patient check-in processes, and maintaining organized office records
Understanding of dental terminology, insurance concepts, and standard dental practice workflows
Strong written and verbal communication skills with a detail-oriented and service-focused demeanor
High level of accuracy, organization, and ability to manage multiple priorities in a fast-paced environment
Familiarity with patient privacy standards and confidential handling of sensitive information
