Job Description:

We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Costa Mesa, California. In this role, you will play a key part in ensuring the office runs smoothly by handling a variety of administrative tasks and supporting the operations team. This position offers an excellent opportunity for someone with strong organizational skills and a proactive mindset.

Job Responsibility:

  • Manage daily administrative tasks, including scheduling appointments, coordinating meetings, and maintaining office records
  • Answer incoming calls professionally and direct them to the appropriate team members
  • Perform data entry tasks with accuracy and efficiency to maintain organized records
  • Serve as the main point of contact for vendors, ensuring timely communication and resolution of issues
  • Assist with basic payroll tasks and ensure all information is properly documented
  • Support the office manager and operations manager by taking on additional workload as needed
  • Utilize QuickBooks and Microsoft Office Suite to complete administrative projects
  • Maintain a welcoming and organized reception area while handling receptionist duties
  • Help manage office supplies by tracking inventory and placing orders when necessary
  • Collaborate with team members to improve administrative processes and workflows

Requirements:

  • Minimum of 2 years of experience in administrative support or a related role
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
  • Basic knowledge of QuickBooks for handling financial tasks
  • Strong organizational and multitasking skills with attention to detail
  • Must be bilingual in Spanish and English with strong verbal and written communication skills in both languages
  • Ability to work independently while being a team player
  • Comfortable handling inbound calls and managing vendor relationships
  • Familiarity with data entry and maintaining accurate records
