We are looking for an organized and proactive Administrative Assistant to join our team in San Jose, California. This long-term contract position offers the opportunity to support key operations and contribute to the success of our organization. Job Responsibility:
Provide comprehensive administrative support to the estimating and production teams
Manage incoming calls and direct them appropriately while maintaining a detail-oriented approach
Perform accurate data entry tasks to support documentation and reporting processes
Coordinate contracts and subcontractor documentation to ensure compliance and organization
Maintain and update office systems and records for seamless workflow
Act as the first point of contact for visitors and clients, delivering excellent customer service
Assist in preparing reports, presentations, and correspondence as needed
Organize and schedule meetings, appointments, and travel arrangements for staff
Collaborate with various departments to streamline communication and operational efficiency
Handle general office tasks, including ordering supplies and maintaining a clean workspace
Requirements:
Minimum of 3-5 years of experience in administrative roles, preferably within the construction industry
Proficiency in administrative systems, including data entry and documentation management
Strong organizational skills with the ability to prioritize and multitask effectively
Excellent written and verbal communication skills
Familiarity with contract and subcontract administration processes
Proven ability to deliver exceptional customer service
Proficiency in using office software such as Microsoft Office Suite
High level of attention to detail and accuracy in all tasks
