A growing construction company in Vista is seeking an Administrative Assistant to support project coordination, documentation management, and daily office operations. The Administrative Assistant will play a critical role in maintaining accurate project documentation, coordinating schedules, and ensuring that operational workflows are executed efficiently. Job Responsibility:
Support project managers with documentation, scheduling, and coordination
Maintain project files, contracts, permits, and compliance records
Process invoices, purchase orders, and expense tracking
Coordinate communication between field teams, vendors, and internal staff
Track project timelines, deliverables, and administrative milestones
Assist with reporting, data entry, and documentation management
Manage incoming calls, emails, and office correspondence
Provide general administrative support across departments
Requirements:
2+ years of administrative experience, preferably in construction or project-based environments
Familiarity with project documentation, contracts, and compliance processes
Strong organizational and multitasking skills
Proficiency in Microsoft Excel, Word, and Outlook
Experience with construction management software is a plus
Ability to work under pressure and meet deadlines
