Job Description

We are looking for an experienced and dependable Administrative Assistant to support a boutique law firm in Lutherville, Maryland. This position serves as a key point of contact for clients while providing day-to-day administrative support that helps attorneys and staff stay organized and responsive. The ideal candidate brings strong judgment, excellent communication skills, and a thoughtful approach when assisting clients, including older individuals and families managing sensitive matters.

Job Responsibility

  • Welcome clients and visitors, creating a courteous and attentive first impression for everyone entering or contacting the office
  • Coordinate meetings, appointments, and deadline tracking to keep attorney calendars and estate-related matters on schedule
  • Communicate with accountants, financial advisors, and other outside contacts to support client service and case progression
  • Assist with probate-related documents and correspondence, including interactions with the appropriate wills and estate offices
  • Prepare billing materials, record payments, and help with routine deposit processing in an accurate and timely manner
  • Provide administrative support for trust tax return workflows and related payment activities
  • Maintain organized records by updating task trackers, monitoring deadlines, and managing document inventories
  • Process incoming mail and digital files by scanning, sorting, and filing materials for easy access and retention
  • Support office operations through supply management, daily opening and closing duties, and periodic file review and cleanup

Requirements

  • At least 5 years of experience in administrative, reception, or office support roles
  • Strong organizational ability with careful attention to detail and accuracy across multiple tasks
  • Clear written and verbal communication skills with confidence in a client-facing environment
  • Proven ability to handle sensitive information with discretion and confidentiality
  • Reliable work habits and a proactive approach to supporting team priorities and office needs
  • Comfort assisting older clients with patience, empathy, and a service-oriented mindset
  • Proficiency with general administrative tasks such as inbound call handling, data entry, scheduling, and document management
  • Previous experience in a law firm or similar services setting is helpful, and exposure to trusts, estates, or probate work is a plus
