Job Description:

We are looking for a dedicated Administrative Assistant to join our team on a contract basis in Louisville, Kentucky. This role requires a highly organized individual to support the maintenance department with administrative tasks, including managing time and attendance records. The position offers a dynamic work environment, with the potential to transition into a permanent role based on performance.

Job Responsibility:

  • Maintain accurate records of employee time and attendance, ensuring compliance with organizational policies
  • Perform data entry tasks with precision, updating and managing payroll systems such as ADP
  • Provide administrative support to the maintenance department, including scheduling and document preparation
  • Organize and manage office files, ensuring easy access to important documents
  • Communicate effectively with team members and other departments to relay information and resolve issues
  • Assist in the preparation of reports and presentations as needed
  • Monitor office supplies and coordinate orders to ensure a well-functioning workspace
  • Handle inquiries and correspondence professionally, maintaining a high level of customer service
  • Support onboarding processes for new hires, including documentation and orientation scheduling

Requirements:

  • Proven experience in administrative roles, preferably in a maintenance or similar department
  • Strong proficiency in data entry and familiarity with payroll systems such as ADP
  • Ability to manage time and attendance records with accuracy and attention to detail
  • Excellent organizational skills and the ability to handle multiple tasks simultaneously
  • Strong communication skills, both written and verbal
  • Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
  • High school diploma or equivalent
  • additional certifications in office administration are a plus
  • Ability to work independently and adapt to changing priorities in a fast-paced environment
