This position involves responsibilities in administrative and lease-related tasks for a commercial property management company, focusing on documentation, tenant communication, lease agreements, and general office management duties.
Job Responsibility:
Respond promptly to tenant inquiries via phone and email, ensuring excellent communication and customer service
Prepare and distribute lease agreements and related documents, ensuring accuracy and timely processing
Track important deadlines and proactively remind relevant parties of upcoming obligations
Maintain organized electronic and physical filing systems for lease and administrative documents
Utilize tools such as Microsoft Word, Excel, Dropbox, and Smartsheet to manage documentation and workflows
Coordinate the signature process for contracts and documents, ensuring proper execution and timely follow-up
Monitor property management schedules and assist with administrative tasks related to building operations
Act as a liaison between tenants and property management, addressing concerns and resolving issues as needed
Prepare standard correspondence and canned letters for lease-related communications
Support office management functions including order tracking, scheduling, and general administrative duties.
Requirements:
At least 3 years of experience in administrative roles, preferably in commercial property management
Proficiency in Word, Excel, Dropbox, and Smartsheet
Strong knowledge of lease administration and property management procedures
Exceptional organizational skills with the ability to manage deadlines and multitask effectively
Excellent communication skills, both verbal and written
Detail-oriented approach to handling documentation and office workflows
Ability to work independently and collaboratively in a fast-paced environment
Familiarity with basic office management practices and tools.
