We are looking for a dependable Administrative Assistant to provide part-time, on-site support for property management and office operations in Alhambra, California. This Long-term Contract opportunity is ideal for someone who is organized, proactive, and comfortable balancing administrative tasks, tenant communication, and records management in a fast-paced real estate environment. The role supports residential and commercial properties and requires strong attention to detail, sound judgment, and clear bilingual communication in English and Spanish.
Job Responsibility:
Oversee routine administrative support for property operations, including document handling, record maintenance, and general office coordination
Review tax, insurance, and lease-related records to help confirm properties and tenant files remain accurate, current, and compliant
Assist with leasing activity by supporting application reviews, preparing move-in and move-out paperwork, and guiding tenants through onboarding steps
Respond to tenant questions regarding rent, lease terms, and service requests, while helping direct issues to the appropriate parties
Enter financial and property data into Yardi, including rent transactions, charges, invoices, receivables, and work orders
Help monitor expenses, utilities, and tenant bill-backs by identifying discrepancies, tracking trends, and supporting cost-control efforts
Prepare recurring reports for management, such as vacancy updates, upcoming rent increase eligibility, and revenue tracking details
Coordinate operational follow-up with outside contacts, including vendors, housing agencies, banks, and insurance or licensing-related parties
Manage front office duties such as answering incoming calls, processing mail, filing records, and assisting with written correspondence and special projects
Requirements:
At least 3 years of experience in administrative support, office coordination, or a similar business operations role
Previous exposure to property management processes is preferred, particularly in residential or commercial real estate settings
Familiarity with Yardi or related property management software is preferred
Bilingual fluency in Spanish and English is required for day-to-day communication
Strong organizational skills with the ability to manage multiple tasks accurately and meet deadlines
Experience handling data entry, document control, and inbound call support in an office environment that requires attention to detail
Ability to maintain confidentiality when working with tenant records, financial information, and internal business documents
Nice to have:
Previous exposure to property management processes, particularly in residential or commercial real estate settings
Familiarity with Yardi or related property management software
