We are looking for a highly skilled Administrative Assistant to join a company in downtown Spokane, Washington. This contract position requires an individual who thrives in a dynamic environment and excels at providing executive-level support. As part of a growing technology firm, you will play a vital role in managing administrative tasks and ensuring operational efficiency.
Job Responsibility:
Coordinate calendars for executive team members, ensuring meetings and deadlines are effectively scheduled
Manage incoming and outgoing mail, as well as office supplies and snack inventory
Provide support in preparing and auditing expense reports
Act as a liaison between leadership and external partners, such as HR service providers, when required
Attend leadership meetings, take detailed notes, and follow up on action items as needed
Assist with document preparation and electronic signing
Ensure smooth communication within the office and with remote team members, utilizing Microsoft Teams and Outlook
Maintain confidentiality and professionalism while handling sensitive information
Execute ad hoc assignments with precision and efficiency, adapting to evolving priorities
Foster a proactive approach to identifying and solving administrative challenges
Requirements:
Minimum of 3-5 years of experience in administrative roles, preferably with executive support
Proficiency in calendar management and scheduling for senior executives
Strong familiarity with Microsoft Office Suite, including Outlook, Word, Excel, and Teams
Exceptional organizational skills and attention to detail in managing expenses and reports
Ability to handle confidential information with discretion and maturity
Demonstrated ability to work independently and take initiative in a fast-paced environment
Effective communication skills, both written and verbal, for interacting with diverse teams and stakeholders
