We are looking for an experienced and service-oriented Administrative Assistant to support conference and workplace operations in Schaumburg, Illinois. Job Responsibility
Greet employees, visitors, and meeting participants with a detail-oriented and approachable presence at the conference services desk
Coordinate conference room reservations and help arrange meeting spaces based on event needs, capacity, and setup preferences
Respond promptly to workplace and meeting-related requests, offering practical solutions to support a smooth office experience
Prepare rooms for scheduled meetings by confirming layouts, equipment readiness, and overall presentation before and after use
Partner with team members to maintain organized conference operations and provide coverage or support as priorities shift throughout the day
Assist with event coordination tasks, including communicating room details, setup requirements, and scheduling updates to internal stakeholders
Perform administrative duties such as data entry, calendar support, email communication, and documentation using standard office software
Learn room locations, features, and setup options to provide accurate guidance and dependable service to employees and guests
Requirements
Prior experience in administrative support, front desk services, workplace coordination, or a similar office-based role
Strong customer service skills with the ability to interact confidently and professionally with employees, guests, and leadership
Comfortable using computers for daily tasks, including typing, email correspondence, calendar management, and basic spreadsheet work
Ability to manage multiple requests at once while staying organized and maintaining attention to detail
Team-oriented mindset with a willingness to cross-train and support shared responsibilities
Capable of handling conference room scheduling, meeting support, and related office logistics in a fast-paced environment
Reliable attendance and availability to work a Monday through Friday schedule during standard business hours
