We are looking for a dependable Administrative Assistant to support daily office operations in Wakefield, Massachusetts in a Contract position expected to last 3 to 6 months. This onsite role will help keep schedules organized, coordinate travel and meetings for field teams, and maintain accurate administrative records. The ideal candidate brings strong attention to detail, comfort with Microsoft Office, and the ability to manage multiple priorities in a fast-paced environment.
Job Responsibility
Coordinate calendars, meeting arrangements, and appointment schedules
Arrange travel logistics for field personnel, including flights and related scheduling details
Maintain organized tracking spreadsheets and update administrative records with accuracy and consistency
Provide front-office and general administrative support, including handling inbound calls and directing inquiries appropriately
Enter, review, and manage data in internal documents and office systems
Assist with communication and scheduling across teams
Support onboarding and knowledge transfer activities during the transition period for the role
Requirements
High school diploma or equivalent required
At least 2 years of administrative support experience in an office environment
Proficiency with Microsoft Office Suite, including intermediate Excel skills
Strong organizational skills with close attention to detail and accuracy
Experience coordinating schedules, meetings, or travel arrangements preferred
Ability to manage multiple tasks effectively while meeting deadlines
Spanish bilingual skills are helpful but not required
