Job Responsibility:
Provide administrative support for daily operations, including answering phones, responding to client inquiries, and managing correspondence
Schedule service calls, coordinate technician dispatch, and maintain up-to-date job records
Assist with processing work orders, invoices, and customer agreements
Maintain and organize company files, permits, and compliance documentation
Support managers and field teams with project coordination, document preparation, and resource tracking
Order office and field supplies, track inventory, and handle vendor communications
Ensure efficient and accurate data entry into business management systems
Requirements:
2+ years’ experience in an administrative support role within an HVAC, plumbing, or related construction/trades environment (required)
Strong organizational and multitasking skills with a proactive approach
Excellent written and verbal communication skills
Proficiency with standard office software (Microsoft Office Suite) and experience with scheduling or dispatch systems is a plus
Ability to adapt to changing priorities and work both independently and as part of a team
Nice to have:
