We are in search of an Administrative Assistant to join our property management team in Santa Barbara, California. This opportunity includes contract to permanent employment. The role involves responsibilities such as addressing tenant inquiries, managing rental applications, drafting rental agreements, coordinating lease signings, managing customer accounts, and ensuring excellent customer service.
Job Responsibility:
Address tenant questions related to available units, leasing processes, general office inquiries, move-out guidelines, and resident ledger concerns
Provide prompt and effective assistance to walk-in customers seeking help or raising concerns
Confirm rental history and employment details as part of the rental application evaluation process
Notify rental applicants about their application status
Draft rental agreements and prepare any required addendums
Coordinate lease signings and facilitate smooth resident move-ins
Manage and oversee lease transfers, assignments, and subleasing arrangements
Administer parking rentals and agreements
Make post-move-in follow-up calls to new residents
Participate actively in team meetings
Maintain a tidy, professional workspace and welcoming lobby area
Interpret and apply company policies appropriately
Work collaboratively and efficiently within a team environment
Requirements:
Comprehensive understanding of rental properties, including knowledge of the rental market, property management, and real estate regulations
Excellent customer service skills, including handling inquiries, resolving issues, and maintaining satisfaction levels
Experience managing client relationships and ensuring customer success
Effective verbal and written communication skills
Comfort using technology, such as property management software or other digital tools
Strong problem-solving skills with the ability to think on your feet
Team player capable of working well with colleagues and stakeholders
Detail-oriented mindset with multitasking ability
Proactive attitude with the ability to anticipate customer needs
