We are seeking a proactive and detail‑oriented Administrative Assistant to provide high‑quality office support to internal teams and leadership. This role is ideal for candidates with recent administrative experience who excel in communication, organization, scheduling, and working in fast‑paced environments. This position does not involve accounting duties and is not intended for bookkeeping-focused candidates.
Job Responsibility:
Manage calendars, schedule meetings, and coordinate staff appointments
Handle phone calls, emails, and internal communications with professionalism
Prepare documents, presentations, reports, and meeting materials
Maintain organized filing systems (digital and physical)
Support travel arrangements, expense tracking (non‑accounting), and departmental logistics
Assist with onboarding tasks, maintaining office supplies, and supporting day‑to‑day operations
Liaise with vendors, clients, and internal departments as needed
Perform general clerical tasks such as scanning, copying, and mail distribution
Requirements:
2+ years of recent administrative or office support experience (within the last 3–5 years)
Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
Excellent written and verbal communication skills
Demonstrated ability to multitask, prioritize, and maintain strong attention to detail
Experience managing calendars, scheduling meetings, or supporting multiple stakeholders
Ability to work independently and maintain confidentiality
Professional demeanor with strong customer service orientation
Nice to have:
Experience supporting managers, directors, or department teams
Familiarity with tools like Teams, Zoom, SharePoint, or other collaboration platforms
