We are looking for a detail-oriented Administrative Assistant to join our team in Yorba Linda, California. In this Contract to permanent position, you will play a key role in supporting the Install team by coordinating tasks, managing reports, and ensuring smooth communication with customers. This role requires strong technical skills, excellent customer service abilities, and a proactive approach to handling administrative responsibilities.
Job Responsibility:
Provide administrative support to the Install team, including project coordinators
Generate and manage reports using Excel to track project progress and team performance
Communicate effectively with customers regarding purchase orders, invoices, and project updates
Address customer inquiries and provide timely updates on project statuses
Collaborate with team members to ensure accurate and timely entry of invoices and purchase orders
Monitor and update records related to ongoing projects and customer transactions
Ensure all administrative tasks are completed efficiently to support project deadlines
Utilize knowledge of the construction industry to assist with relevant documentation and processes
Maintain organized records and ensure compliance with company procedures
Requirements:
Proficiency in Microsoft Excel and ability to manage detailed reports
Strong customer service skills with the ability to handle inquiries professionally
Experience in administrative roles, preferably in the construction industry
Familiarity with handling purchase orders and invoices
Excellent communication skills, both written and verbal
Ability to stay organized and manage multiple tasks simultaneously
Tech-savvy with the ability to learn and adapt to new systems
Knowledge of construction documents and processes is a significant advantage
