We are looking for a detail-oriented Administrative Assistant to join our team in Greenwich, Connecticut. In this Contract to permanent role, you will play a pivotal part in supporting the Executive Team and ensuring smooth day-to-day operations within our organization. Job Responsibility:
Manage calendars, coordinate schedules, and organize meetings for the Executive Team
Ensure efficient office operations for executive offices and preschool facilities, maintaining a detail-oriented atmosphere
Assist in preparing grant-related documentation, compliance reports, and accreditation materials
Perform accurate data entry and provide administrative support for various health, education, and human service initiatives
Oversee office supplies and building inventory, including ordering and organizing as needed
Monitor facility issues and participate in the Safety Committee to uphold a safe and secure workplace
Collaborate with staff and leadership to enhance administrative workflows and improve efficiency
Handle receptionist duties, including welcoming guests and managing inbound communications
Complete additional administrative tasks as required to support organizational goals
Requirements:
Proven experience in administrative support roles, preferably within non-profit organizations
Strong organizational skills with the ability to manage multiple priorities effectively
Proficiency in data entry and office software applications, including Microsoft Office Suite
Excellent communication skills, both written and verbal, with a detail-oriented approach
Ability to handle sensitive information with discretion and confidentiality
Experience with office inventory management and facility oversight
Commitment to contributing to a collaborative and mission-driven environment
Nice to have:
Familiarity with grant preparation and compliance reporting is a plus
