We are looking for a dependable Administrative Assistant to support daily property management operations in New Jersey. This is a Contract position designed to provide coverage and ensure the office runs smoothly during a scheduled absence. The ideal candidate will bring strong administrative support skills, sound judgment, and the ability to adapt quickly in a fast-paced real estate and facilities environment.
Job Responsibility:
Provide front-line administrative support for the property management team, handling day-to-day office coordination and general clerical tasks
Maintain organized records, correspondence, and documentation to support efficient property and facilities operations
Respond to routine inquiries from tenants, vendors, and internal team members in a timely and thorough manner
Assist with scheduling, calendar coordination, and meeting preparation to keep business activities on track
Support data entry, report preparation, and file management with a high level of accuracy and attention to detail
Learn office procedures during the training period and apply them effectively to ensure seamless coverage
Help monitor administrative workflows and escalate issues appropriately to maintain continuity of service
Requirements:
Previous experience in an administrative support or office coordination role
Strong organizational skills with the ability to manage multiple tasks efficiently
Clear written and verbal communication skills in an office setting
Proficiency with standard office software and general computer applications
Ability to work independently while following established processes and guidelines
High attention to detail and commitment to accuracy in documentation and scheduling
Nice to have:
Experience supporting property management, real estate, or facilities teams is preferred
