We are looking for an Administrative Assistant to support a construction business in Rockville, Virginia. The person in this role will help connect customers, sales staff, and field leadership while ensuring daily administrative work moves forward smoothly. Job Responsibility
Coordinate communication between customers, sales representatives, and field supervisors to keep projects moving efficiently
Manage incoming calls and greet visitors professionally while serving as an initial point of contact for client inquiries
Assist with project-related administrative work, including tracking progress, updating records, and following up on outstanding items
Prepare and revise contracts, process change documentation, and support general job file accuracy
Order materials and parts for active jobs and monitor delivery status to help avoid delays
Maintain organized office documentation through data entry, record updates, and routine administrative support
Support front desk coverage as needed and help ensure daily office operations run in an orderly manner
Requirements
Previous experience in an administrative, office support, or receptionist role - specifically in construction industry is a STRONG plus
Ability to manage multiple priorities at once without losing accuracy or follow-through
Strong attention to detail when handling documents, communication, and project records
Comfortable answering inbound calls and interacting with customers with strong attention to detail
Data entry skills with the ability to keep information organized and up to date
Experience working in the construction industry is preferred
Strong written and verbal communication skills for coordinating with internal teams and clients
