We are looking for a dependable Administrative Assistant to support daily office operations in Sarasota, Florida in a Contract position. This role serves as a key point of contact for residents, visitors, and service providers while helping keep administrative tasks organized and on schedule. The ideal candidate brings a strong customer service approach, strong computer skills, and the ability to stay composed in a small office that can shift from quiet to fast-moving throughout the day.
Job Responsibility
Welcome homeowners, guests, and vendors at the front desk and provide courteous assistance with questions or office needs
Support the property manager and board members with day-to-day administrative tasks, correspondence, and document handling
Process rental and homeowner applications, ensuring forms and supporting paperwork are complete and properly organized
Maintain accurate filing systems, office records, and data entry tasks to support efficient office operations
Prepare access credentials and respond to routine resident requests in a timely and attentive manner
Compile basic reports and perform general clerical duties such as scheduling, document preparation, and phone coverage
Help maintain an orderly, well-organized office environment and adapt to changing front-desk activity levels throughout the day
Requirements
Prior experience in an administrative, clerical, receptionist, or office support role is preferred
Proficiency with Microsoft Office or Office 365, including the ability to complete routine computer-based tasks accurately
Strong organizational skills with the ability to manage files, records, and multiple priorities effectively
Strong communication skills and a friendly, attentive approach when interacting with residents, visitors, and vendors
Dependable attendance and the ability to work consistently in an on-site office setting
Comfort working independently in a small office while also taking direction from management and board leadership
Ability to remain composed during interruptions and shifting priorities in a front-desk environment
