A growing construction and development firm in Oceanside is seeking a proactive and energetic Administrative Assistant to support project managers and office leadership. You’ll play a key role in keeping projects moving forward, ensuring documentation is accurate, and supporting both field and office operations.
Job Responsibility:
Coordinate project documentation and maintain organized job files
Assist with scheduling meetings, site visits, and subcontractor coordination
Prepare proposals, contracts, and change order documentation
Track project timelines and assist with status reporting
Communicate with vendors, subcontractors, and internal teams
Maintain office supplies and coordinate administrative logistics
Support accounting with invoice tracking and document collection
Requirements:
2+ years of administrative or project support experience
Strong organizational and time-management skills
Proficiency in Microsoft Office and document management systems
Ability to communicate professionally with multiple stakeholders
Comfortable working in a deadline-driven environment
Construction or project-based experience preferred
