We are looking for a dependable Administrative Assistant to support daily office operations for a non-profit organization in San Jose, California. This is a Contract position suited for someone who enjoys keeping administrative processes organized, providing a welcoming first point of contact, and handling a variety of clerical tasks with accuracy. The ideal candidate will contribute to a smooth-running office by coordinating communications, maintaining records, and assisting with general administrative needs.
Job Responsibility
Manage front-desk and administrative support activities to help maintain efficient day-to-day office operations
Respond to inbound phone calls professionally, direct inquiries to the appropriate contacts, and relay messages accurately
Welcome visitors and provide receptionist support that creates a positive and organized office environment
Enter, update, and maintain information in office records and databases with a high level of accuracy
Prepare, organize, and file documents so that administrative materials remain current and easy to access
Assist with scheduling, correspondence, and routine clerical tasks to support staff and departmental needs
Monitor incoming communications and help ensure requests are addressed in a timely manner
Requirements
Prior experience in administrative support, office coordination, or a similar role
Ability to handle inbound calls and in-person inquiries with professionalism and courtesy
Strong data entry skills with careful attention to detail and accuracy
Working knowledge of general office procedures and administrative best practices
Comfortable performing receptionist duties in a busy office setting
Effective written and verbal communication skills
Ability to manage multiple tasks, stay organized, and meet deadlines in a contract assignment
