Job Description:

We are seeking a detail-oriented, organized, and proactive Administrative Assistant to support the daily operations and administrative functions within a higher education environment. This role requires excellent organizational skills, strong communication abilities, and the capacity to juggle multiple tasks in a dynamic academic setting. As a key contributor to the institution's success, the Administrative Assistant will interact with faculty, staff, students, and external partners to ensure seamless administrative support.

Job Responsibility:

  • Manage scheduling and calendars for faculty, department heads, or administrators
  • Coordinate meetings, including preparing agendas, taking minutes, and following up on action items
  • Handle correspondence via email, phone calls, and mail
  • Maintain an organized system for physical and electronic records and files
  • Provide front-line assistance to students, faculty, and visitors with inquiries
  • Support recruitment and onboarding efforts for new faculty or staff members
  • Assist in maintaining class rosters, scheduling rooms, and updating course materials in systems like learning management platforms
  • Use academic management systems, office software, and collaboration tools to facilitate day-to-day functions
  • Troubleshoot minor IT or equipment issues as needed
  • Ensure compliance with institutional policies and procedures
  • Stay informed about updates to educational guidelines or administrative protocols

Requirements:

  • Associate’s degree or higher (Bachelor’s degree preferred), with coursework or experience in administration, education, or a related field
  • Proven experience in an administrative role, preferably within a higher education setting
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with database tools and learning management systems (e.g., Canvas, Blackboard)
  • Excellent verbal and written communication skills
  • Strong attention to detail, organizational abilities, and time management
  • Ability to work with diverse populations and demonstrate cultural sensitivity and inclusion
  • Discretion when handling confidential information

Nice to have:

  • Knowledge of the academic structure and operations in higher education, including grant processing, student services, or faculty communication
