We are seeking a detail-oriented, organized, and proactive Administrative Assistant to support the daily operations and administrative functions within a higher education environment. This role requires excellent organizational skills, strong communication abilities, and the capacity to juggle multiple tasks in a dynamic academic setting. As a key contributor to the institution's success, the Administrative Assistant will interact with faculty, staff, students, and external partners to ensure seamless administrative support.
Job Responsibility:
Manage scheduling and calendars for faculty, department heads, or administrators
Coordinate meetings, including preparing agendas, taking minutes, and following up on action items
Handle correspondence via email, phone calls, and mail
Maintain an organized system for physical and electronic records and files
Provide front-line assistance to students, faculty, and visitors with inquiries
Support recruitment and onboarding efforts for new faculty or staff members
Assist in maintaining class rosters, scheduling rooms, and updating course materials in systems like learning management platforms
Use academic management systems, office software, and collaboration tools to facilitate day-to-day functions
Troubleshoot minor IT or equipment issues as needed
Ensure compliance with institutional policies and procedures
Stay informed about updates to educational guidelines or administrative protocols
Requirements:
Associate’s degree or higher (Bachelor’s degree preferred), with coursework or experience in administration, education, or a related field
Proven experience in an administrative role, preferably within a higher education setting
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with database tools and learning management systems (e.g., Canvas, Blackboard)
Excellent verbal and written communication skills
Strong attention to detail, organizational abilities, and time management
Ability to work with diverse populations and demonstrate cultural sensitivity and inclusion
Discretion when handling confidential information
Nice to have:
Knowledge of the academic structure and operations in higher education, including grant processing, student services, or faculty communication
Understanding of institutional policies and accreditation requirements
