We’re looking for a reliable temporary Administrative Assistant to cover a mat leave and to help keep the office running smoothly by managing daily setup, stocking, tidying, and light administrative tasks. This is a great fit for someone who enjoys routine, takes initiative, and likes keeping shared spaces organized and guest-ready.
Job Responsibility:
Set up and organize the office each morning, including unloading the dishwasher and putting away items
Restock beverages, snacks, and groceries in the kitchen and common areas to ensure supplies are readily available
Prepare bagels biweekly and manage cleanup afterward
Answer phones and route calls/messages appropriately
Maintain conference rooms by arranging supplies, ensuring cleanliness before meetings, and tidying up afterward
Monitor and manage incoming mail and packages, distributing them appropriately
Organize the supply room and proactively order supplies when stock is low
Assist with filing, scanning, and organizing documents to ensure records are properly maintained
Alphabetize and arrange binders and file boxes as directed to optimize document accessibility
Provide coverage for the office manager during bathroom breaks and other brief absences
Water plants weekly to ensure a pleasant and welcoming office atmosphere
Requirements:
Proven dependability and punctuality with a strong commitment to routine tasks
Excellent organizational skills and attention to detail
Ability to take initiative, identify needs, and complete tasks independently
Comfortable with physical tasks, including lifting and carrying items up to 20 pounds
Proficiency in administrative tasks such as data entry, receptionist duties, and answering inbound calls
Strong interpersonal skills to collaborate effectively in a team-oriented environment
Prior experience in administrative assistance or office support roles preferred
Capability to maintain a clean, detail-oriented, and guest-ready office space
