We are looking for a dedicated Administrative Assistant to join our team in New York, New York. In this 3 months (or longer) contract position, you will play a crucial role in ensuring smooth communication and efficient administrative operations. This role is ideal for someone who thrives in a fast-paced environment and enjoys working with both internal teams and external stakeholders.
Job Responsibility:
Respond to incoming calls and accurately identify concerns to relay them to the appropriate staff members
Manage and organize a shared inbox, addressing inquiries from landlords and program participants
Prepare outgoing mail by assembling checks, letters, and other documents, ensuring they are properly stamped and ready for dispatch
Enter demographic and other relevant data into a basic system with precision and attention to detail
Utilize basic Excel skills to complete administrative tasks and organize information effectively
Maintain clear and attentive email communication with stakeholders to address and resolve inquiries
Support receptionist duties by welcoming visitors and assisting with general inquiries
Process checks and ensure all related documentation is handled securely and accurately
Requirements:
Proven experience in administrative assistance or a related role
Ability to handle inbound calls and effectively communicate with diverse individuals
Strong organizational skills to manage office tasks and prioritize workload
Proficiency in data entry with a high level of accuracy
Familiarity with basic Excel functions and spreadsheet management
Excellent written and verbal communication skills for email correspondence
Experience with check processing and maintaining confidentiality
Capacity to work independently and collaboratively in a team environment
