We are looking for a detail-oriented Administrative Assistant to provide operational and office support for a residential real estate company in Roseland, New Jersey. In this role, you will contribute to the efficient functioning of multiple apartment communities by ensuring smooth communication and organized workflows. Your efforts will play a key part in supporting both property teams and corporate operations.
Job Responsibility:
Manage and maintain organized files, calendars, reports, and office supplies to ensure seamless daily operations
Assist in handling leasing and resident documentation, including move-in/move-out processes, notices, and communication
Update and monitor trackers for work orders, renewals, compliance documents, and portfolio-wide reports
Coordinate schedules, meetings, events, and logistics for property-related activities
Maintain accurate records and support the preparation of compliance and audit documentation
Respond to resident inquiries promptly and provide excellent customer service
Facilitate communication between property teams and corporate staff to ensure efficient workflows
Monitor office inventory and order supplies as needed to maintain a well-equipped workspace
Assist with general administrative tasks, including answering inbound calls and data entry
Support special projects and initiatives as assigned by management
Requirements:
Proven experience in administrative roles, preferably in property management or real estate
Strong organizational skills with the ability to multitask and prioritize effectively
Excellent communication skills, both written and verbal, to interact with residents and team members
High attention to detail and a commitment to accuracy in recordkeeping and reporting
Customer service-oriented mindset with a proactive approach to problem-solving
Proficiency in standard office software, including word processing, spreadsheets, and email
Ability to adapt to changing priorities and work independently in a fast-paced environment
Nice to have:
Familiarity with lease agreements, compliance documentation, and property management processes is a plus
