We are looking for an organized and detail-oriented Administrative Assistant to support property management operations in Irvine, California. In this role, you will play a vital part in maintaining efficient administrative processes and providing exceptional service to tenants and vendors. This is a Long-term Contract position that offers the opportunity to develop your skills in a dynamic and collaborative environment.
Job Responsibility:
Maintain and update essential documents such as insurance certificates and lease agreements, ensuring compliance with company policies
Collaborate with Building Technicians and vendors to address maintenance needs, open work orders, and track their progress
Manage lease administration tasks, including reviewing lease abstracts, setting up leases, processing changes, and generating reports
Prepare and submit tenant billing statements for approval
Assist in the creation of monthly and quarterly management reports to support property operations
Process invoices and purchase orders by accurately entering them into the accounting system and forwarding originals for payment
Identify and resolve both routine and unique issues within the scope of your work area
Provide impactful support to the team by ensuring the quality and accuracy of services and information delivered
Follow established procedures while receiving moderate supervision and guidance as needed
Requirements:
Proven experience in administrative support, particularly within property management or similar fields
Strong organizational skills with attention to detail and the ability to manage multiple tasks effectively
Proficiency in Microsoft Office, including Word, Excel, and Outlook
Excellent communication skills, both verbal and written, to interact professionally with tenants, vendors, and team members
Ability to handle data entry tasks efficiently and accurately
Experience with receptionist duties, including answering inbound calls and managing inquiries
Familiarity with lease administration and accounting processes is a plus
Problem-solving skills to address typical and atypical challenges in the workplace
