Our client is looking for a motivated Administrative Assistant to join our team on a contract basis in San Antonio, Texas. This role involves providing crucial support in event planning and execution, ensuring smooth coordination with clients, vendors, and team members. Ideal candidates will possess strong organizational skills, attention to detail, and a customer-focused mindset to help deliver successful events.
Job Responsibility:
Assist in the planning and execution of events by coordinating schedules, logistics, and communications
Respond to client inquiries and provide solutions or escalate concerns when necessary
Set up and dismantle event venues, ensuring all arrangements meet required standards
Collaborate with vendors, stakeholders, and participants to ensure seamless event operations
Schedule and organize appointments, meetings, and reservations as needed
Prepare detailed event reports, summaries, and presentations to track progress and outcomes
Ensure compliance with health and safety regulations throughout event activities
Deliver exceptional customer service to clients and attendees
Manage inventory of event supplies, materials, and equipment
Facilitate post-event evaluations to identify successes and areas for improvement
Requirements:
High school diploma or equivalent
a degree in event management or a related field is preferred
Previous experience in event coordination, administrative assistance, or a similar role
Exceptional organizational skills and the ability to manage multiple tasks simultaneously
Strong communication and interpersonal abilities to work effectively with clients and vendors
Proficiency in Microsoft Office and other relevant software tools
Flexibility to work irregular hours based on event schedules
Ability to handle physical tasks, including lifting and moving event materials
Attention to detail and the ability to meet deadlines in fast-paced environments
