We are looking for a detail-oriented Administrative Assistant to support daily office operations. This is a Contract position suited for someone who can manage competing priorities, communicate effectively with customers and internal teams, and keep administrative processes running smoothly. The role combines calendar coordination, document preparation, reporting, and customer support activities while contributing to both routine operations and special projects.
Job Responsibility
Coordinate calendars, travel arrangements, meetings, and department events while ensuring schedules and logistics are organized efficiently
Maintain accurate customer and departmental records, update information in the CRM system, and retrieve documentation as needed
Prepare clear correspondence, reports, spreadsheets, charts, and presentation materials, reviewing content carefully for accuracy and readability
Support service-related administrative work by assisting with quotes, invoicing, and tracking activity within the service sales pipeline
Serve as a point of contact for callers, visitors, customers, and internal partners, responding appropriately and routing inquiries as needed
Assist with special assignments and ongoing initiatives, including organizing presentations, monitoring deadlines, and coordinating deliverables across teams
Partner with the marketing function and other departments to collect, distribute, and follow up on important business information
Process expense documentation, help coordinate training-related administration, and produce customer-focused sales and statistical reports
Provide administrative support tied to production coordination and customer-specific requests to help maintain efficient day-to-day operations.
Requirements
Experience providing administrative or office support in a fast-paced business environment
Strong skills in scheduling, document preparation, filing, and general office coordination
Ability to handle inbound calls, greet visitors professionally, and communicate effectively with a wide range of stakeholders
Proficiency in data entry and maintaining accurate records across multiple systems and files
Comfortable working independently while also supporting team-based projects and shared departmental goals
High attention to detail with the ability to proofread materials and produce accurate work
Strong organizational skills with the ability to manage multiple priorities, deadlines, and changing requests.
