We are looking for a detail-oriented Administrative Assistant to join our team in Irvine, California. This is a Contract to permanent position, offering a dynamic opportunity to support office operations and ensure smooth day-to-day functionality. In this role, you will handle a variety of administrative tasks while collaborating with different departments to maintain organizational efficiency.
Job Responsibility:
Oversee daily office operations, including ordering supplies, organizing shared spaces, and maintaining meeting rooms
Perform clerical tasks such as data entry, document management, filing, and record keeping
Provide administrative support to project managers and engineers by coordinating forms, ordering materials, and ensuring timely task completion
Schedule meetings, arrange catering, and organize logistics for office events
Research and reserve venues for company-wide events, ensuring seamless coordination and execution
Assist the Accounting team by preparing invoices, tracking receipts, and organizing financial documents
Manage monthly credit card statements by collecting receipts and organizing them within shared folders
Coordinate employee travel arrangements, including booking flights and accommodations
Support recruitment processes by posting job openings, conducting initial screening calls, and scheduling interviews
Organize and facilitate company volunteer projects and team-building activities to enhance employee engagement
Requirements:
Minimum of 3 years of administrative experience in an office setting that requires attention to detail
Proficiency in Microsoft Office Suite and familiarity with tools like RingCentral
Strong organizational skills and attention to detail in managing tasks and processes
Excellent communication skills to handle inbound calls and coordinate with team members
Ability to perform data entry accurately and maintain records efficiently
Experience in scheduling meetings, booking travel, and managing event logistics
Capability to multitask and prioritize responsibilities in a fast-paced environment
Knowledge of receptionist duties and office administration practices
