We are looking for a detail-oriented Administrative Assistant to support billing operations in a fast-paced healthcare environment. This role is based in Santa Clara, California, and offers an excellent opportunity for individuals eager to grow their administrative and financial skills. The ideal candidate will assist with invoicing, purchase order matching, and other bookkeeping tasks while collaborating closely with the sales and management teams.
Job Responsibility:
Prepare and send invoices accurately and in a timely manner
Match purchase orders to invoices to ensure proper documentation and billing
Collaborate with the sales and management teams to support billing-related processes
Assist with bookkeeping tasks and maintain organized financial records
Manage customer billing inquiries and provide resolution promptly
Use QuickBooks or similar software for billing and record-keeping purposes
Generate billing statements and ensure all payments are recorded properly
Participate in training to learn additional responsibilities and enhance skills
Maintain administrative records and provide general office support as needed
Requirements:
Bachelor's degree in Business, Accounting, or a related field
a degree in Biology or science is also acceptable
Strong attention to detail and organizational skills
Familiarity with billing functions, including invoicing and collection
Proficiency in computerized billing systems and QuickBooks
Ability to work collaboratively with teams and communicate effectively
Willingness to learn and adapt to new tasks and responsibilities
No prior experience required
training will be provided

Mandarin-speaking skills are a plus but not required
