We are looking for a detail-oriented Administrative Assistant to support daily office operations in California. This Long-term Contract position is ideal for someone who can keep workstreams organized, communicate effectively with both internal teams and the public, and handle a variety of administrative tasks with accuracy. The successful candidate will contribute to a well-run office environment by managing records, coordinating routine activities, and providing dependable front-office support.
Job Responsibility
Coordinate day-to-day administrative activities to help maintain an efficient and organized office environment
Manage data entry, document filing, and record upkeep with a high degree of accuracy and attention to detail
Welcome visitors, respond to general inquiries, and provide attentive receptionist support in person and through phone or email communication
Prepare, format, and distribute correspondence, reports, and other routine office documents as needed
Schedule meetings, assist with calendar coordination, and support virtual meeting arrangements using common office technology tools
Monitor multiple assignments at once, adjust priorities as needed, and follow through on deadlines in a timely manner
Use office software, cloud-based file storage, and other administrative tools to maintain organized and accessible information
Support ongoing administrative processes and assist with updates to office procedures or digital workflows when required
Requirements
Strong ability to organize tasks, manage competing priorities, and maintain orderly records
Clear verbal and written communication skills for working effectively with staff, visitors, and external contacts
Experience providing administrative support in an office or front-desk environment
Proficiency with data entry and standard office applications, including word processing, spreadsheets, and email platforms
Familiarity with cloud storage systems and virtual meeting tools used in modern office settings
Ability to handle confidential information with professionalism and discretion
Dependable attention to detail and a consistent approach to completing work accurately
