We are looking for an experienced Administrative Assistant to join our team in Augusta, Maine. In this long-term contract position, you will play a key role in ensuring smooth office operations and providing essential support to leadership and staff. This role is fully onsite and offers an opportunity to work in a beautifully restored historic building.
Job Responsibility:
Schedule and coordinate meetings as requested, ensuring all arrangements are handled efficiently
Manage daily office tasks, including drafting letters, memos, and reports
Maintain both physical and electronic filing systems to ensure organized record-keeping
Monitor inventory and order office supplies to meet operational needs
Collect and distribute incoming mail in a timely manner
Prepare, format, proofread, and edit documents for executive presentations and board meetings
Arrange travel accommodations and itineraries for staff members as needed
Serve as the first point of contact by answering inbound calls and addressing inquiries
Assist with data entry and maintaining accurate records
Perform other administrative duties as assigned to support the office's functionality
Requirements:
Proven experience in administrative assistance or office management
Strong organizational and time management skills to handle multiple tasks effectively
Excellent interpersonal skills and a proactive, approachable attitude
Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook
Ability to coordinate meetings and manage schedules efficiently
Familiarity with maintaining digital and physical filing systems
Skilled in handling travel arrangements and logistics
Capable of proofreading and editing documents with attention to detail
