Job Description

Our client, a non-profit organization, is seeking a highly organized and detail-oriented Administrative Assistant to support senior leadership. This role is 100% on site and is instrumental in managing executive operations, coordinating board activities, and ensuring organizational efficiency.

Job Responsibility

  • Provide high-level administrative support to executive leadership
  • Manage calendars, correspondence, and day-to-day communications
  • Act as liaison to the Board of Directors: prepare board packets, agendas, reports, and meeting materials
  • Record and maintain accurate meeting minutes and board records
  • Track board member participation and coordinate signatures
  • Coordinate and schedule board, committee, and internal meetings
  • Maintain organized electronic and physical filing systems
  • Track organizational deadlines, reporting requirements, and key deliverables
  • Assist with contract tracking and documentation management
  • Support special projects, reporting, and data tracking initiatives
  • Arrange travel, meetings, and conference logistics for leadership
  • Provide administrative support for HR-related tasks as needed
  • Serve as point of contact for insurance administration
  • Ensure strict confidentiality across all organizational matters

Requirements

  • Minimum of 2+ years of experience supporting administrative or office operations
  • Strong written and verbal communication skills with the ability to interact effectively with leadership and board members
  • Demonstrated ability to stay organized, manage shifting priorities, and maintain close attention to detail
  • Proficiency with Microsoft Office applications and comfort working with documents, spreadsheets, and presentations
  • Experience with administrative support functions such as data entry, office coordination, reception coverage, or handling inbound calls
  • Sound judgment, problem-solving ability, and a high level of discretion when working with sensitive information
