We are looking for a dedicated Administrative Assistant to join our team in Goleta, California. In this long-term contract role, you will support the operational needs of residential property management teams, ensuring smooth day-to-day operations and high-quality service standards. Job Responsibility:
Provide on-ground operational support to residential property management teams, ensuring seamless daily operations
Step in to fill various roles, including management and leasing positions, as needed to maintain service continuity
Collaborate closely with the Residential Property Management Operations team to uphold consistent policies and procedures across the portfolio
Assist with paper filing, document scanning, and e-filing to organize and maintain accurate records
Support the preparation and organization of file boxes for efficient storage and retrieval
Ensure compliance with established standards and protocols within the property management processes
Act as a liaison between on-site teams and the Residential Property Management Department to address operational needs
Contribute to the improvement of workflows and processes to enhance team efficiency
Provide administrative assistance as required to ensure smooth communication and coordination
Monitor and report on operational challenges, offering solutions to improve service delivery
Requirements:
Minimum of 1 year of experience in administrative or property management roles
Proficiency in paper filing, scanning documents, and organizing file boxes
Familiarity with e-filing systems and document management processes
Strong organizational skills with attention to detail and accuracy
Ability to adapt to changing priorities and fill various roles as needed
Excellent communication skills to collaborate effectively with multiple teams
Knowledge of property management policies and procedures is preferred
Ability to work independently while ensuring alignment with team goals
