The Administrative Assistant will support executives, financial advisors, and team members by managing administrative tasks, coordinating schedules, and maintaining accurate records. This role requires exceptional attention to detail, discretion, and professionalism in a fast-paced financial environment.
Job Responsibility:
Provide high-level administrative support to executives and team members, including calendar management and meeting coordination
Draft, proofread, and format correspondence, reports, and client-facing documents
Manage incoming calls, emails, and client inquiries with professionalism and discretion
Maintain organized filing systems and ensure sensitive documents are handled confidentially
Assist with onboarding new clients and coordinating internal workflows
Support ad hoc projects, presentations, and reports as needed
Requirements:
2+ years of administrative experience, preferably in finance, investment, or professional services
Strong organizational skills and the ability to prioritize multiple tasks in a fast-paced environment
Excellent written and verbal communication skills
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and familiarity with CRM or financial software a plus
Professional demeanor and ability to maintain confidentiality at all times
