Job Description

We are looking for a personable and organized Administrative Assistant to support a busy property management team in Massachusetts. This Long-term Contract opportunity is ideal for someone who enjoys working with residents, managing office workflows, and keeping information accurate and up to date. The role offers a fully onsite schedule and would suit someone who is comfortable balancing administrative tasks with resident-facing responsibilities.

Job Responsibility

  • Manage day-to-day office support activities, including handling administrative tasks that keep operations running smoothly
  • Enter and maintain resident application information with a high degree of accuracy and attention to detail
  • Communicate with current and prospective residents by phone and in person, providing courteous and timely assistance
  • Coordinate and conduct unit showings while delivering a welcoming and attentive experience for prospective tenants
  • Update records and input property-related data into company systems, including Yardi after training is provided
  • Support leasing and property management processes by organizing documentation and tracking key information
  • Answer inbound calls, respond to routine inquiries, and direct requests to the appropriate team members when needed

Requirements

  • Previous experience in an administrative support role, ideally within leasing, property management, or a related office environment
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook
  • Strong data entry skills with the ability to maintain accurate records in a fast-paced setting
  • Comfortable interacting with residents and visitors in a detail-oriented, friendly, and service-oriented manner
  • Confidence using office technology and learning new software systems quickly
  • Excellent verbal and written communication skills
  • Ability to manage multiple priorities, stay organized, and work effectively in a fully onsite position
